Essentials

Learn to what kind of information have your users access in Essentials.

Once your users have access to Essentials, they can start to manage their account, view their payments performance, and perform day-to-day business activities.

Essentials dashboard

In Essentials, your users can find information about:

  • Payments: View all payments processed through their merchant account. Here they can also cancel or refund payments.
  • Disputes: View, defend, or accept disputes.
  • Finance: View and download reports.
  • Stores: Find an overview of all their stores and their configured terminals.
  • Terminals: Find an overview of all their terminals, including their status and the associated store for each terminal.
  • Users: View a list of all users, and the last time they logged in. Users can give their team members access to Essentials. Each user can have one or more roles, determining the user's permissions.
  • System messages: Users can sign up to receive system messages containing important events related to their merchant account, such as notifications about fraud, chargebacks, and required account changes.
  • Account settings: View their account details, such as their registration address and payout account.

Create an Essentials user account

If you want your users to be able to use the dashboard but you have not used Essentials to onboard them, you must create a user account for them. You can control the actions that your users can do within the dashboard by assigning them different roles.

  1. Log in to your live Customer Area.
  2. Go to Settings > Users.
  3. Select Create new user.
  4. Enter a username and email address, then select Continue.
  5. Select Only selected account groups and merchant accounts, then select the specific accounts to which you want the user to have access.
  6. In the Roles section, assign the General > Merchant standard role, then select Continue.
  7. After reviewing the user details and roles, select Create new user.

After you create an account for your user, they will receive an email with instructions on how to log in to Essentials. The email will contain the name of their account and username, and a link to set a password.

Sales and payouts

On the Finance pages, your users can compare their payouts to sales and refunds in a certain period, and find the most up-to-date information about the current payable batch. They can switch between the following tabs:

  • Sales: Users can see an overview of the sales history in a given period.
  • Payouts: Users can see their payout history.

Reports

Your users can download the following reports from Essentials. When helping your users to reconcile payments, you can also use additional reports that you can access in your Customer Area.

Aggregate settlement report

This report shows details of payout batches in a specific date range. This gives users an overview of the funds settled to their bank account over a certain period of time, and to validate the funds received in their bank account against the day of sale. The payouts are summarized by store, payment method, the day of sale, and payout batch. For more information, see Aggregate settlement details report.

Settlement details report

This report includes the details of payments that have been settled and paid out in one batch by Adyen. It is automatically generated every time Adyen makes a payout to your user's bank account. Users can use this report to validate funds received in their bank account in a single batch, and view every payment settled in this batch. For more information, see Settlement details report.

Interactive payment accounting report

This report includes payment lifecycle status changes, events, and modification for all transactions. Your users can use this report to see the costs associated with different statuses and reconcile invoices.

Statements

Statements include all the costs deducted from your user's settlement in the previous month. The amounts are determined based on the sell rate that you selected for the user.

You users can download monthly statements from the Finances > Invoice page.

Adyen does not hold a commercial relationship with your users, so Adyen does not deduct VAT/GST as part of the settlements over the course of the month or as part of the monthly statement.

This report is generated only for users based in the United States.

The report provides information required for filing taxes in the US. It is automatically generated by Adyen every January.
